FieldScan — Privacy Policy
Last updated: July 17, 2026
This Privacy Policy explains what FieldScan ("we", "us", "the app") collects, why, and your choices. It applies to the FieldScan mobile app (iOS and Android) and the FieldScan web dashboard at app.fieldscan.dev.
1. Who we are
FieldScan is a barcode scanning and inventory app for individuals and teams. The data controller is Nevena Miljanovic, an individual developer based in Austria, reachable at privacy@fieldscan.dev.
2. What we collect and why
We only collect what the app needs to function. We do not use third-party advertising or analytics/tracking SDKs, and we do not sell your data.
| Data | When | Why |
|---|---|---|
| Email address | Sign-up / sign-in | Create and secure your account, send account emails (verification, magic links, password reset, and — if enabled — digests and notifications) |
| Username / display name | Profile | Identify you within your workspace and for scan sharing |
| Account & workspace identifiers | Automatically | Keep your data separated from other tenants (multi-tenant isolation) |
| Scan records — barcode value, name, category, notes, quantity | When you scan/edit | The core inventory feature |
| Precise location (GPS) | Only at the moment of a scan, foreground only | Optionally tag each scan with where the item was found. We do not track location in the background |
| Photos | When you attach a photo to a scan | Store the image with that scan |
| Push notification token | If you enable notifications | Deliver notifications (shares, invites, digests) |
| Team membership & role | If you join/create a team | Team features and permissions |
We do not collect: contacts, health data, financial/payment data (no payments are processed in the app), background location, or advertising identifiers.
3. Authentication providers
You can sign in with email/password, a magic link, Sign in with Apple, or Google. When you use Apple or Google sign-in, we receive a basic identifier and (if you allow it) your email to create your account. Apple's "Hide My Email" is supported.
4. How your data is stored and processed
- Supabase — our backend provider — hosts our database, authentication, file storage (your scan photos), and server functions. Your data is stored there on our behalf.
- Expo Push / Apple Push Notification service / Firebase Cloud Messaging — used solely to deliver push notifications to your device. Firebase Cloud Messaging is used only as the Android push transport; we do not use Firebase Analytics.
Data is transmitted over encrypted connections (HTTPS/TLS).
5. Sharing
We share your data only with the processors above, to operate the service, and where required by law. We do not sell your data or share it for advertising.
6. Data retention and account deletion
You can delete your account in the app (Profile → Delete Account) or from the web dashboard. Deletion is scheduled with a 30-day grace period during which you can sign back in and cancel it. After the grace period, your account and associated data are permanently deleted. You may also contact us at privacy@fieldscan.dev to request deletion.
7. Your rights
Depending on your location, you may have rights to access, correct, export, or delete your personal data, and to object to or restrict certain processing. Contact privacy@fieldscan.dev to exercise them. If you are in the EEA/UK, our legal basis is performance of our contract with you (providing the app) and your consent for optional device permissions (camera, location, photos, notifications).
8. Children
FieldScan is not directed to children under 13 (or the minimum age in your country), and we do not knowingly collect their data.
9. Device permissions
The app requests camera (scanning and attaching photos), location while using the app (tagging scans), photo library (attaching existing photos), and notifications. You can grant or deny each, and change them anytime in your device settings; the app degrades gracefully if a permission is denied.
10. Changes
We'll update this policy as needed and revise the "Last updated" date. Material changes will be communicated in-app or by email.
